Serviq is a product of Teriontic LLC (“we,” “us,” or “our”). We provide software that helps service businesses manage customers, field work, teams, sales, payments, and business operations. This policy explains how information is handled across that service—not just on this website.
1. Who and what this covers
This policy covers the Serviq public website, web workspace, mobile apps when made available, related APIs, customer request and job-lookup integrations, and our support and account communications. Features differ by platform, plan, and team permission. References to a feature do not mean it is available in every version.
It applies to visitors, account holders, business owners, team members, and people whose information a business submits to Serviq, including its customers and prospective customers.
Business records and account information have different roles. We handle account, service administration, security, billing, and support information to operate Serviq. When a business uses Serviq to manage its customers, personnel, or jobs, that business determines why those records are collected and how they are used; we process them to provide the service on its behalf. Where applicable law uses these terms, the business is generally the controller and Serviq acts as its processor for those records.
If you are a customer or team member of a business using Serviq, that business’s privacy notice also matters. Contact it about its decisions, such as what it records about a job or how it manages employees. You can contact us for help identifying the appropriate business or handling a request.
2. Information we handle
We receive information from you, from the businesses and authorized people who use Serviq, from connected providers, and through operation of the service. Depending on the features used, this includes:
- Accounts and businesses: names, usernames, email addresses, authentication and verification information, account identifiers, business names and logos, settings, memberships, invitations, roles, and permissions.
- Customers and field work: contact information, service and property addresses, mapped job coordinates, requests, leads, quotes, appointments, recurring visits, assignments, job status, notes, checklists and responses, time entries, photos, and uploaded files.
- Business and financial records: catalog items, prices, invoice details, payment status and identifiers, subscription entitlements, crews, inventory, costs, commissions, tasks, workflows, reports, agreements, and review requests.
- Communications: team messages, shared images, conversation membership, read receipts and presence information, invoice correspondence, and the contact details and messages you provide for support.
- AI interactions: your requests, conversation context, selected authorized workspace records, generated drafts, and operational usage information such as the feature used, processing outcome, and usage counts.
- Technical and security information: network and request information such as IP addresses, browser or device information, timestamps, authentication events, errors, activity records, and information used to detect abuse or enforce usage limits. Infrastructure providers may also process technical logs.
Customer-facing integrations can collect a requester’s name, email, phone number, service address, requested service, preferred appointment time, and notes for the receiving business. Customer job lookup uses an emailed verification code before returning matching upcoming-job information to the integration.
Only submit information you are authorized to share. Do not put passwords, verification codes, full payment-card details, or unnecessary sensitive personal information in job notes, chat, AI requests, or support messages.
3. How information is used
We use information to:
- Create and verify accounts, authenticate sign-ins, recover access, and manage team permissions.
- Store and synchronize business records, coordinate work, deliver messages, and provide the features a business chooses to use.
- Process requested invoices and payments, administer subscriptions, and maintain related transaction records.
- Provide optional AI assistance and enforce plan entitlements and usage limits.
- Deliver verification, invitation, account, billing, deletion, restoration, and other service communications; respond to support requests.
- Maintain and troubleshoot the service, prevent fraud and abuse, enforce applicable agreements, and comply with legal obligations.
Where a legal basis is required, these purposes may rely on performing our agreement with you, legitimate interests in operating and protecting the service, compliance with legal obligations, or your consent for uses that require it. Where processing relies on consent, you can withdraw it without affecting processing that was lawful before withdrawal. A business using Serviq is responsible for the legal basis for its own customer and personnel records.
4. Workspace access and sharing
Information is shared with the workspace members and roles authorized to use it. Owners and authorized administrators manage membership and permissions. Team activity, assignments, time records, message participation, read receipts, and availability may be visible to other authorized members. Direct messages are not a promise of end-to-end encryption or of protection from necessary service administration.
We also share information with providers that help deliver the service; with recipients you or your business choose, such as invoice recipients; and with integrations the business enables. For example, a connected website receives submitted requests or verified job-lookup results. The operator of that website is responsible for its own use of the information.
Authorized Serviq personnel and providers may access information as needed for support, maintenance, security, billing, or legal compliance. We may disclose information when legally required, to protect rights and safety, or in connection with a business transfer, subject to applicable privacy obligations.
We do not use customer or operational records to build public profiles of you or your customers. Sending an invoice, sharing a file, or exporting a record can create a copy outside Serviq that is controlled by its recipient.
5. AI features
When you use Serviq AI, your request and selected workspace context are sent to OpenAI to generate a response. Context can include relevant customer details, schedules, notes, service descriptions, financial or operational records, and earlier messages in the interaction. Access depends on the business’s plan and your permissions.
Some research features use web search. Information from the request or service descriptions may be used to form search queries. Do not include confidential information that is unnecessary for the task.
Serviq requests that API responses not be stored for later retrieval through the AI API. This does not mean that no provider processing or retention occurs: security, abuse-prevention, and other provider retention rules can still apply. OpenAI states that business API inputs and outputs are not used for model training by default; see its data-use explanation for the conditions and exceptions.
Content you save from an AI result becomes part of the relevant workspace record. We also maintain operational AI usage information to run the feature and apply limits. AI can make mistakes; review outputs and proposed actions before using or approving them. You can choose not to use AI, and business administrators can manage access.
6. Payments and subscriptions
Stripe processes supported payment, connected-account, invoice, subscription, and payout operations. Customer and invoice details, transaction amounts, business identifiers, and related information are passed to Stripe as needed for these operations.
Payment-card and bank information entered into Stripe’s payment or onboarding interfaces is handled by Stripe. Serviq uses related identifiers, payment and onboarding status, subscription details, and financial records to operate billing and show activity in the workspace. These records are distinct from full card numbers or bank credentials.
A business receiving a customer payment has its own responsibilities for that transaction. Stripe and any app store or other payment service you use may process information under their own terms and privacy notices. Deleting a Serviq account does not erase records independently held by payment providers or automatically refund a payment.
7. Service providers
The service uses providers for the functions below. The information a provider receives depends on which feature you use. Their privacy notices describe their own processing; they do not replace this policy for Serviq’s use of information.
- Supabase · Account and workspace infrastructure
- Authentication, database records, uploaded files, realtime updates, and server-side functions. Supabase privacy notice.
- Cloudflare · Website and API delivery
- Hosting, network delivery, and the branded API connection. Requests and technical connection information pass through this infrastructure. Cloudflare privacy notice.
- Stripe · Payments and billing
- Supported transactions, connected business accounts, subscriptions, and invoice delivery. Stripe privacy notice.
- Resend · Service emails
- Recipient addresses and message content for authentication, invitations, customer verification, and account-lifecycle emails. Resend privacy notice.
- Web3Forms · Website support requests
- The name, email, topic, and message you submit through the support form, for delivery to our support channel. Web3Forms privacy notice.
- OpenAI · Optional AI processing
- Requests and selected workspace context as described in the AI section. OpenAI privacy notice.
- Apple and other platform or delivery services
- Platform features such as maps, app distribution, and available notification services follow the platform’s own rules. The websites also load fonts and software resources from external delivery services, which receive connection information such as an IP address. Apple privacy information.
Third-party websites, payment pages, app stores, and business websites linked from Serviq are operated separately. Review their notices before providing information directly to them.
8. Photos, location, and notifications
- Photos and files: when you select or capture content to attach to a job, message, or business profile, that content is uploaded for the feature you chose and made available according to its access controls.
- Location: the iPhone schedule map can request location access while using the app to show where you are. This is separate from customer addresses and job coordinates stored in workspace records. Mapping and address-lookup services may process location or address information to display the map or locate a job.
- Notifications: supported local job reminders use schedule information and your device’s notification permissions. If remote account alerts are available in your version and you enable them, the notification service uses a device token and related registration information to deliver those alerts. Availability may vary.
You can decline or revoke device permissions in your device settings. Some optional features will then be unavailable. Notification previews can appear on a lock screen; use your device’s preview controls if you share the device or handle confidential job details.
9. Browser and device storage
The web workspace stores authentication sessions and preferences, such as appearance, selected business, and working views, in browser storage. Mobile apps use device storage for sign-in and settings. The website’s sign-in flow transfers the authenticated session to the workspace so you do not have to sign in twice.
Hosting and other providers may use cookies or similar technologies for delivery and security. External fonts and software resources also involve requests to their providers. Blocking storage can prevent sign-in or preferences from working. Clearing local storage or uninstalling an app does not itself delete your server-side account or business records.
Sign out on shared devices. Revoking sessions or deleting an account is not a remote wipe of downloaded files, exported records, or screenshots on a device.
10. Retention and account deletion
We retain information as needed to provide the service, maintain business records, resolve support and billing issues, protect against abuse, and meet legal obligations. Retention depends on the record, the business’s instructions, account status, and applicable provider or legal requirements. There is not one deletion period for every type of information.
Account deletion has a 30-day restoration window. In the webapp, use Settings → Your account → Start account deletion. The iPhone app also provides account-deletion controls in Account & settings. You can use the support form if you cannot access these controls.
- When requested: your workspace access is disabled and a deletion deadline is set for 30 days later. Signing in alone does not cancel deletion.
- Before the deadline: sign in and explicitly choose Enable account to restore access and cancel the request. Other members can continue working in businesses you own during this window.
- At the deadline: restoration and access close. Scheduled cleanup removes your account, user-owned uploads, and businesses you still own with their associated data. Physical cleanup can take additional time if queues or provider failures delay it.
- Other businesses: shared business records in workspaces owned by someone else are not all deleted with your account. Records and authorship references are handled according to their relationships; some user-specific messages, memberships, or files are removed.
Billing can continue during the 30-day window. Cancel paid business subscriptions in Plan & billing before requesting deletion if you do not want them to continue, or restore your account to manage billing. Serviq cancels the owned businesses’ platform subscriptions during permanent cleanup. Deletion does not close connected Stripe accounts or erase financial records held by third parties.
Backups, security or delivery logs, legal records, and independently retained provider records can follow different retention schedules. Account deletion does not recall copies already sent to customers, teammates, or other recipients. Privacy-law deletion requests are assessed separately according to the applicable law and need not have the same scope as deleting a login account.
11. Your choices and rights
You can update available account details, manage workspace records where your permissions allow, change device permissions, control team and AI access if authorized, and request account deletion. Required account, security, and transaction messages may still be sent while they are necessary to provide or close the service.
Depending on where you live and the law that applies, you may have rights to access, correct, delete, or receive a portable copy of personal information; restrict or object to certain processing; withdraw consent; or exercise applicable opt-out rights. You may also have the right to complain to a privacy regulator or appeal a request decision.
Use our support form and identify the request as a privacy request. Tell us the account email or business involved and what you are requesting, without sending your password or verification codes. We may ask for information needed to verify identity or authority and protect other people’s records. Rights and exceptions depend on applicable law; we will explain our response and any available next steps.
For a business’s customer or personnel records, contact that business first where possible. We can assist it with a request or direct your request to the appropriate business. Requesting privacy rights should not result in unlawful discrimination or retaliation.
12. International processing
Information may be processed in countries where we or our providers operate, which may include the United States and countries with different privacy laws from your own. Where applicable law requires protections for an international transfer, that transfer must be handled using the protections required by that law. Contact us with questions about the processing relevant to your account.
13. Security
Serviq uses safeguards such as encrypted network connections, authentication, and permission-based access controls. No system can guarantee absolute security. Keep credentials and verification codes private, use a strong password, review team access, and tell us promptly if you suspect unauthorized access.
14. Children
Serviq is intended for businesses and their authorized personnel, not directed to children under 13. If you believe a child has provided personal information inappropriately, contact us so we can assess and address it under applicable law.
15. Policy updates
We may update this policy as Serviq’s features, providers, or legal obligations change. The date above identifies the latest version. Material changes will be communicated as required by applicable law. This policy does not replace a separate agreement that applies to your business’s use of Serviq.
